The Roadmap to a Successful Event

KAPOW THE ROADMAP <-EVENTS–> to A SUCCESSFUL EVENT After one year of living and breathing a variety of events, both big and small, we identified some core components of each stage of an event. We lay out what you need to accomplish before, during, and after your event to make it a success. Don't want to hassle with any of these things? We can take care of it all-just give us a call. PRE-EVENT O GOALS 16 PLAN Define your event goals: customer acquisition, client retention, and client engagement are just a few examples. Start planning 6-8 weeks in advance so you can secure a date, send invites and work out the finer details. GET PERSONAL GUEST LIST Customize and personalize invites for larger roups. For smaller groups, send custom invites and call them... it's a nice gesture! Craft your guest list based on your goals. Will you reward only your best clients? Do you want to invest and create relationships with new clients? Events are most effective when tailored to specific audiences. TRACK RSVPS This will help you identify who to follow-up with and assess whether you need to invite other guests to fill capacity. FOLLOW UP Follow-up on invites and send a reminder to attendees the day before the event. People are busy and it's easy to forget. DURING YOUR EVENT GIVEAWAYS The number one reason people attend events are for giveaways so find one compelling enough to engage your attendees. MIX & MINGLE Speak with everyone in attendance and questions. Learn something about each of your attendees to find commonalities and bond. L TAKE NOTES Take note of key points in your conversations that you can reference when you follow-up. Whether you take mental notes or jot reminders on a business card, you'll thank yourself after the event! SNAP PICTURES Take plenty of photos of the event and with attendees. This is a way to bring your event to life after the event and used for follow-up and other marketing or event materials. POST EVENT SAY 'THANKS! Follow-up and thank attendees after each event. You'll be amazed what these two words can do for client relationships. MEASURE SUCCESS Determine the success of your event by sending a survey to attendees. Use the feedback to adjust your approach when planning your next event. SHARE Share photos from the event with your attendees to extend the lifecycle.
