Collaboration Enterprise

DARE TO SHARE A NEW CULTURE OF COLLABORATION IN THE ENTERPRISE THE WEB HAS DONE NOTHING SHORT OF REVOLUTIONIZING THE CONCEPT OF COMMUNICATION. THIS IS ESPECIALLY EVIDENT IN HOW IT PERMITS PEOPLE AND BUSINESSES TO WORK TOGETHER IN THE EVER-TRANSFORMING DIGITAL AGE. HERE'S A LOOK AT WHAT COLLABORATION MEANS AND HOW IT HAS EVOLVED IN THE ENTERPRISE. "IN THE LONG HISTORY OF HUMANKIND (AND ANIMAL KIND, TOO) THOSE WHO LEARNED TO COLLABORATE AND IMPROVISE MOST EFFECTIVELY HAVE PREVAILED." - CHARLES DARWIN - WHAT DOES IT MEAN TO EVERYONE? WHAT DOES IT MEAN TO THE ENTERPRISE? UNIVERSALLY FUNDAMENTAL TO COLLABORATION IS HOW MEMBERS JOIN IN THE ENTERPRISE, THE PRINCIPLE REMAINS LARGELY THE SAME, TOGETHER TO ACHIEVE A MUTUAL GOAL. IT IS BASED ON THE IDEA EXCEPT MORE PEOPLE ARE ENGAGING WITH ONE ANOTHER THROUGH THAT SHARING KNOWLEDGE THROUGH COOPERATION ASYNCHRONOUS, SOCIALLY-GEARED TECHNOLOGY, HELPS SOLVE PROBLEMS EFFICIENTLY. ASYNCHRONOUS COLLABORATION A COOPERATIVE ENVIRONMENT IN WHICH THE TEAM MEMBERS CAN EXCHANGE AND RETRIEVE THE INFORMATION AT DIFFERENT TIMES. THE GROWTH OF COLLABORATION IN THE OFFICE 70% PERCENT OF PEOPLE WHO BELIEVE COLLABORATION TECHNOLOGY WILL SIGNIFICANTLY CUT DECISION-MAKING TIME AND IMPROVE PRODUCTIVITY. TYPES OF WORKERS IN THE 2011 US WORKFORCE*** THE NUMBER OF WORKERS WHO COLLABORATE AS PART OF THEIR DAILY JOB IS STEADILY GROWING. PRODUCTION O 38.2%→ COLLABORATION LITTLE COLLABORATION REQUIRED. COLLABORATION REQUIRES 47.0% TACIT KNOWLE DGE, GROUP COMMUNICATION, AND COMPLEX DECISION-MAKING, TRANSACTION COLLABORATION IN THE FORM OF 14.8%- SCRIPTED INTERPERSONAL EXCHANGES. K GOOD COLLABORATORS > CONTRIBUTE TAKE RESPONSIBILITY COOPERATE AND LISTEN RESEARCH, PERFORM ALL DUTIES OF RESPECT THE VIEWPOINTS OF OTHERS COLLECT AND RELAY THE INFORMATION. THE ASSIGNED ROLE ON THE TEAM WHILE HELPING THE TEAM REACH A FAIR SOLUTION. HISTORY OF COLLABORATION TOOLS IN THE ENTERPRISE Internet use starts to prevail in the workplace, and the concept of the "Web" and e-mail capability are introduced to enthusiastic adopters around the office. In 2009, an estimated E-MAIL E Microsoft Outlook, Lotus Notes, Google Apps Email, AOL 800 million people globally used email to communicate.* The company intranet helps organizations begin to harness and manage employees' internal knowledge into a single database to ensure continuity. In 2009, The New York Times estimated that more than 17,000 companies → THE INTRANET actively used SharePoint as an internal intranet. With little time to even send an email, employees start to demand better ways to collaborate instantly with colleagues. In 2010, Skype alone had over 541 million users, showing widespread adoption of chat-like tools.* INSTANT MESSENGERS E Skype, Live Messenger, Yahoo Messenger, AIM, Google Chat Self-governing groups could freely create entries about organizational knowledge, and businesses found a forum to openly share information with customers. In 2009, five of the top ten Fortune 500 companies had public blogs: Wal-Mart, Chevron, General Motors, Ford, and Bank of America.** → WIKIS AND BLOGS This interactive technology, which allows employees to communicate instantly via two-way video or shared computer screens, makes online meetings more engaging. WebEx alone boasted 3 million users who count on staying connected through video conferencing. VIRTUAL CONFERENCE + WebEx, Go-To-Meeting, Adobe Connect These programs allow more than one user to remotely access and edit a shared application or document from their own computers. In February of 2010, DropBox had 4 million users, with 32.7 percent of those users in the → APPLICATION SHARING PROGRAMS Google Docs, Box.net, DropBox United States. The Enterprise takes the success of the Twitter model into the office by developing tools to help employees communicate with each other and with customers in real-time. Rapid adoption and success ensues - as an example, in 2010, Starbucks had MICROBLOGGING AND ACTIVITY STREAMS - Socialcast, Facebook, Twitter close to 7 million fans on Facebook.* HOW COLLABORATION CAN IMPROVE*** ENTERPRISE COLLABORATION ISN'T PERFECT, ACCORDING TO MCKINSEY, COLLABORATION HAS MANY AREAS FOR IMPROVEMENT. Collaboration is not inherently the source of more productivity; in fact, a recent study found that 20 to 50 percent of collaborative activity resulted in wasted effort. The sources of the waste included: 10 COMMON FORMS OF WASTED EFFORT IN COLLABORATION • DIVERGENCE • MOTION POORLY PLANNED MEETINGS Wasted effort due to politics, mismatch of goals Handoff of artifacts or communications • MISUNDERSTANDING • EXTRA PROCESSING Disconnect in understanding Excess creation of artifacts or information UNPRODUCTIVE TRAVEL TIME • UNDERCOMMUNICATING TRANSLATION REDUNDANT E-MAIL COMMUNICATIONS Excess or not enough time spent in communication Time spent conforming objects to new outputs • INTERPRETING • WAITING While these inefficiencies can negatively affect productivity, there is potential that, through supporting collaborative efforts with technology - namely, with web 2.0 tools - size-able gains can be attained from modest improvements.
