10 Union Rules & Regulations International Exhibitors Should Know about U.S. Exhibitions Stand and Exhibit Structure Installation & Dismantle 52% of all convention halls in the U.S. have a union affiliation. And while there are still some cities that require mandatory union labor assistance for setting up your exhibit structure (California, Philadelphia, others), most U'S. cities have relaxed rules allowing exhibitors the ability to set up their own exhibit structure. Inline exhibitors can almost always install and dismantle their own display. Hanging and Wiring AV Monitors Electrical Work In U.S. venues, exhibitors cannot place or hookup their own electrical service. They cannot run their own extension cords. They may be able to place their own light fixtures atop their exhibit hardware (in about 50% of the venues), but you may be required to use union electricians for this in many of the convention centers. Check your show kit for rules explanations. In some U.S. trade show cities, exhibitors can hang their own flat screen and LCD monitors. In others, you're required to use the union electricians for this task. Your best guide for knowing the rules and regulations on this subject for each U.S. city (and venue location) is to check the specific Exhibitor Show Kit related to the event, as rules vary by city and venue. Carpet & Specialty Flooring Cleaning & Porter Service Often referred to as "booth vacuuming", this is an exclusive service provided by the General Contractor of the show, at an average cost of $.40 cents sg.f. per day (your EAC / 1&D company is not allowed to provide this service to you on a daily basis). Internet Services Hanging Signs While this is not a union jurisdiction item, it is an exclusive service provided by the General Service Contractor (Freeman, GES, etc.) or the exclusive show vendor assigned for this service. Rigging professionals (a unionized group of specialty workers) are required to "fly" any hanging sign structures. Freight While there is no official "requirement" of who you must use as a transportation carrier, it is highly recommended that exhibitors in the U.S. choose a freight company that understands the trade show delivery and pickup process in the U.S. (ie. Marshalling yards, driver check-in and dispatching procedures, wait times, etc). Union dock workers that have jurisdiction over freight handling often give preferential treatment (ie. faster service) to trucking companies that have strong union affiliations Material Handling Empty Crates & Cases In the U.S., the general contractor is responsible for removing, storing, and returning your empty cases and crates after the installation is completed and once the show ends. Unless youve stored your cases behind your display (typical of 10x10 exhibitors), union workers are responsible for retrieving and delivering these crates. It is strongly discouraged for exhibitors to go out back to a) look for their cases / crates among the stacks of exhibit materials or b) tipping union personnel to look for7 expedite the return of your specific property. Such behavior can result in the convention worker being reprimanded and/or fired. International exhibitors should not assume that they can "bring in all of your exhibit stuf" without 'assistance. Unlike Europe, there are assigned personnel to manage the move-in and move-out of exhibitry. Generally speaking, if you can carry it in without a hándtruck or dolly, you may bring it to your booth space. If it "requires wheels" (forklift, dolly, handtruck, cart, etc.) there is a union labor group that has jurisdiction of moving it from the dock area to your booth space.
